Use existing compatible equipment
Phones, tablets, computers, and scanners already at the venue can be evaluated before launch. Suitable equipment is incorporated into the deployment plan instead of replaced without reason.
A safer transition
Configure the venue, train the people who use it, and let clean KEYS records grow alongside the existing file through normal operation.
You will not get a login and a good-luck email. I’ll help configure the venue, train the people using it, and support the rollout as KEYS moves into daily use.

KEYS launches alongside your venue’s existing records. Members move into the new system naturally when they apply, renew, or arrive for their first KEYS-era visit.
Each KEYS record begins with a traceable creation event and supporting workflow—instead of relying on a bulk import of incomplete or unverified legacy data.
Venue branding, policies, fees, business day, roles, member pages, and serialized cards.
Owners, managers, and staff learn the screens they actually use.
The existing file remains available while KEYS records grow through normal activity.
Applications, admissions, payments, meetings, and important actions accumulate with their audit history intact.
What the pilot includes
The 30-day founding venue pilot is $250 per venue: enough structure to test the real workflow without turning the pilot into a months-long implementation project.
Hardware: Use compatible equipment already available at your venue, or request a quote for an affordable, pilot-ready hardware package.
Venue-specific rules: Standard configuration is handled during setup. Advanced custom development is scoped separately.
Parallel operation: The venue’s existing records remain available while KEYS builds its own traceable history.
Hardware options
The strongest operating configuration is two tablets and one validated Bluetooth scanner capable of reading driver-license PDF417 barcodes and KEYS member-card QR codes.
Phones, tablets, computers, and scanners already at the venue can be evaluated before launch. Suitable equipment is incorporated into the deployment plan instead of replaced without reason.
Venues that need equipment can request a separate quote for two configured tablets, protective cases, charging equipment, and a validated ID and member-card scanner. The venue approves the quote before anything is ordered.
Continuing service is quoted around the license type, operating needs, existing equipment, rollout, and support. A validated scanner and the two-tablet package can be included as separately priced hardware line items when the venue wants the recommended setup.
Optional preregistration, event workflows, printing, or venue-specific equipment can be considered during deployment without making every venue buy the same extras.
Managed safely after launch
KEYS handles routine updates through a controlled process so your venue does not have to worry about file changes, backup steps, or different versions ending up on different systems.
Before an update reaches your live system, KEYS checks the update and confirms the site is ready for it.
Before an update changes anything, KEYS creates and verifies a recovery point. Your normal automatic backups continue alongside it.
When support is needed, KEYS can quickly see whether the site is checking in, the database is responding, recent recovery points are healthy, and which version is running.
Updates are tested on our Sandbox first. Only the same approved version is then sent to your venue.
